Introduction

Willow Software gathers and uses certain information in order to provide websites, bespoke development services, support services and Salix Monitor 360. Willow Software also collects limited information to understand how visitors use the websites, protect accounts and services, respond to enquiries, process support requests and operate the hosted monitoring application.

Information Willow Software may collect

Willow Software may collect the following information:

• Name and contact information, including email address and telephone number where supplied.
• Organisation, role, account and support contact details.
• Website enquiry details, support ticket content and other information you choose to send to Willow Software.
• Website usage information, analytics, security logs, IP address and basic technical information about your browser or device.
• Salix Monitor 360 account information, organisation details, user records, subscription status, billing references and application settings.
• Monitoring data configured or generated inside Salix Monitor 360, such as monitor names, URLs, hostnames, IP addresses, agent check-ins, service state, status results, alert history, incident information and operational telemetry.
• Support portal data for paid customers, including ticket history, messages, attachments you provide and account access information.

How Willow Software uses this data

Collecting this data helps Willow Software provide, improve, secure and support its websites, services and applications.

Specifically, Willow Software may use this data:

• To respond to enquiries, support requests, account questions and project discussions.
• To provide and operate Salix Monitor 360, including dashboards, monitors, agents, alerts, reports and account management.
• To manage paid subscriptions, support eligibility, invoices, payment references, cancellations and billing queries.
• To secure accounts, detect abuse, investigate faults, maintain audit trails and protect the service.
• To improve Willow Software products, services, documentation and user experience.
• To comply with legal, accounting, tax, security and operational obligations.

Salix Monitor 360 and support portal data

Salix Monitor 360 is owned and operated by Graeme Moignard trading as Willow Software. The hosted application processes monitoring and operational information that users configure inside the app. This may include information about websites, servers, services, agents, organisations, users, alerts and incident history.

Free accounts can use the product within the published limits, but direct Willow Software support tickets are normally available to subscribed paying customers only. When an organisation has an active paid subscription, authorised support contacts may be added to the Willow Software support portal and can use their Salix Monitor 360 username and password for support access.

You should only add monitoring targets, hostnames, IP addresses, URLs, contacts, notes, tickets or attachments that you are authorised to provide and process. Avoid entering secrets, passwords, private keys or unnecessary sensitive information into monitor names, notes, tickets or support messages.

Client Desk and Compliance Desk hosted workspaces

Where Willow Client Desk or Willow Compliance Desk is supplied as a Willow-hosted service, Client Desk customers use the shared Client Desk SaaS database and Compliance Desk customers use the shared Compliance Desk SaaS database. Each customer is isolated as its own tenant workspace with tenant-scoped protected file storage. Willow Software processes the account, organisation, user, workflow, file and audit information that authorised users choose to place in that workspace in order to provide, secure, support and administer the service.

Customers control the business content entered into their hosted workspace and are responsible for ensuring they are authorised to provide that information. Compliance Desk may contain compliance, assurance, supplier, evidence and case records; Client Desk may contain client, project, service, conversation and file records. Customers should apply appropriate retention, access and data-minimisation practices for their own use.

Shared product demonstrations

Public Client Desk and Compliance Desk demonstrations are disposable test environments. Demo data and uploaded files are reset approximately every three hours, and email and external integrations are disabled. Do not enter real personal data, confidential client information, regulated information, credentials or other sensitive material into a shared demo.

Payments and billing providers

Where online payment is used, payment processing may be handled by external providers such as PayPal or CityPay. Willow Software may receive transaction references, subscription status, invoice details and billing metadata needed to manage the service, but Willow Software does not need to store full payment card details on this website.

Cookies and how Willow Software uses them

A cookie is a small file placed on your computer's hard drive. Cookies can help websites and applications remember preferences, maintain login sessions, protect forms and understand how pages are used.

Willow Software websites and Salix Monitor 360 may use cookies and similar technologies for essential login/session functions, security, account management, analytics and improving the service. Some cookies are necessary for the websites, support portal or app to work correctly.

No website, hosted application or Internet-connected service can be guaranteed to be completely secure. You are responsible for keeping your own login credentials secure, limiting account access to authorised users and making sure information you enter into the services is appropriate.

Data retention

Willow Software keeps information for as long as it is reasonably needed for the purpose it was collected, including providing the service, maintaining account records, handling support tickets, meeting legal or accounting obligations, resolving disputes, improving security and maintaining audit trails.
